Toolcocoon is run by Toolcocoon, 8400 Oostende, West-Vlaanderen, Belgium ("we"). This policy explains what we store, why, and for how long. The short version: your files never reach us, and we keep as little as we can. Questions? Use the contact form on the Help page.
Your files
Every tool runs inside your own browser, on your own device. Your files, their names and their contents are never sent to us or to anyone else, and we never store them. Our pages tell your browser not to send data anywhere else.
What we store and why
- Your email address, when you buy something, ask for a sign-in link or write to us. We use it to send your purchase confirmation, one-time links and our answers, and to know who wrote to us. It is stored encrypted.
- Your purchases: what you bought, until when it is valid, a random code for each device that uses it (at most 3), and how many files were made with it (never the files or their names). We use this to unlock your purchase, prevent misuse and answer refund questions.
- Payment records: amount, product, country, currency and date. We never receive card or bank details: those stay with Paddle, our reseller.
- Which version of our terms you accepted at checkout, and when, as proof of what was agreed.
- Messages you send us and our answers, plus technical information (browser, device type, tool and error code) only when you choose to include it.
- Reviews you write: stars, text, first name, country, the tool you used and the date.
- Anonymous statistics: page visits (page, country, language, type of device) and tool use, without cookies and without profiles. To stop abuse, we briefly count requests per network using a scrambled version of the network address; these counts are deleted within a day.
Why we may use it
- To provide what you asked for: your purchase, sign-in links and support (our agreement with you).
- To meet our legal duties, such as keeping accounting and tax records.
- Our legitimate interest in keeping the site safe, preventing abuse, publishing the reviews you send us, and understanding how the site is used through anonymous statistics.
How long we keep it
- Support messages: deleted automatically 12 months after the conversation is closed.
- Your email address: removed automatically 24 months after your last purchase has ended and your last contact with us.
- The count of files made per purchase: 400 days. Refund requests: 2 years.
- Accounting and tax records and proof of the terms you accepted: 10 years, because Belgian law requires it, without your email address.
- Reviews: as long as they are published. Ask us and we remove yours. Reviews we don't publish are deleted after 6 months.
Who helps us
We work with a few trusted providers. They handle data only on our instructions and never for their own purposes. We never sell data and show no ads.
- Cloudflare: hosting, our licence service and database, bot protection, anonymous visit counts and the translation of support messages.
- Brevo: sending our emails, such as purchase confirmations, one-time links and our answers to your questions.
- Paddle.com, our reseller: Paddle sells to you, handles the payment, the invoice and any tax. Paddle's own privacy policy applies to the checkout.
Outside the European Union
Some of these providers may process data outside the European Union, for example in the United States. When that happens, the data is protected by the safeguards EU law requires, such as the EU's standard contractual clauses.
Cookies
We use no tracking cookies. Your browser keeps your purchase, your language and your light or dark choice on your own device. That is strictly necessary storage, so there is no cookie banner.
Your rights
You can ask to see, correct, export or delete your data, ask us to limit how we use it, and object to how we use it. We answer within one month. Use the contact form on the Help page and choose "Something else". We make no automated decisions about you. You can also complain to the Belgian Data Protection Authority (gegevensbeschermingsautoriteit.be).
Changes
When we change this policy, we update this page and the date at the top.
